Guiding Policies

  1. Larch Mountain Country Artists (LMCA) is an east Multnomah County (Troutdale) based arts organization. Its continued success is based on every member contributing to the fall show. The Executive Committee may amend the policies or add new policies as needed and reserves the right to interpret the policies as needed.1. Congeniality and sense of community are highly valued within LMCA.

  2. Art work or items sold at the fall LMCA show must be original work of that member.

  3. New members will be admitted into LMCA on a probationary status.

  4. It takes a majority vote of the Executive Committee to raise a probationary member to a full member. This vote must occur after the second year the artist is in the fall show.

  5. The Executive Committee, by a majority vote, may refuse to renew the membership of any member who has not followed the rules. If the Executive Committee votes to remove a member before the fall show, their membership fee and any other fees already paid for the year will be refunded.

  6. Low sales by a member at the fall show maybe cause for non inclusion in the next year’s show. Low sales are understood to mean sales equal to orless than 1% of the total gross sales of the LMCA fall show. Table size will be a factor in this decision.

  7. Past sales volume may be used as a factor in artist booth assignments for future shows.

  8. Each member is responsible for returning their paperwork in a timely manner. This includes membership fee, the Artists Sales agreement, booth selection and fee, committee reports and any post show reports. Membership fees are due by the last day of May. Members shall indicate their participation in the fall show by the end of June.

  9. A member cannot miss more than one show in five years and keep their place in future shows. If a vendor takes a year off, they must still pay their annual dues or they will be dropped from membership. Past members can always re-jury for future shows.

  10. Probationary members must provide a list of specific work they intend to sell at the time of jury review.

  11. The Executive Committee reserves the right to requirea member to remove work from their booth for the duration of the show if the item was not juried.

  12. Members agree to not sell products or artwork that duplicates another member’s work, unless the involved members have worked out an agreement ahead of time and notified the executive committee in writing.The best solution, when in doubt about a new item, is to jury the item for inclusion in the show.

  13. Annual dues are due at the first annual meeting in May and need to bein by May 31st. The vice president will follow-up with artists who haven’t paid to see if they intend to remain members.

  14. The budget objective of LMCA shall be to retain in its bank account at least two years of annual fixed costs to cover coming show costs and any unexpected emergencies.

  15. Procedure for missing work:

    1. If an artist, after receiving their check, discovers a discrepancy between their individual sales reportdetail (provided by LMCA) and their after-show inventory as compared with their filed inventory sheet(s), they shall report this discrepancy to the Show Chair not later than 10 days after receipt of their payment if they wish payment for the item(s). The artist shall detail (item number, description and quantity) the item(s) missing based on their filed inventory sheet, along with any other identifyingevents that they believe may have occurred.

    2. The Show Chair shall check with the Vendor Committee Chair to review all sold tags to determine whether:

      1. the item was sold and proceeds not paid to the artist;

      2. the tag was misfiled and the sale proceeds went to the wrong artist; and/or

      3. whether there is no evidence trail for the missing item. The Chair has the authority to make all other reasonable inquiries about the missing item.

    3. The Show Chair shall report to the Executive Committee by email or during a post-show meeting and the Committee shall vote as to whether the artist will be reimbursed for the missing item(s). This decision shall occur before the last day of the sales year and an explanation sent to the artist.
